· Answer and direct phone calls, emails. Greet clients to theorganization in a professional and friendly manner
· Organize and schedule appointments
· Plan meetings and take detailed minutes
· Assist in the preparation of regularly scheduled reports
· Develop and maintain a filing system
· Submit and reconcile expense reports and invoices
· Provide general support to the other departments
· Answer general phone inquiries using a professional and courteousmanner
· Assist logistic department for shipping items.
· Use computer word processing, spreadsheet, and database softwareto prepare reports, memos, and documents
· Purchase, receive and store the office supplies ensuring thatbasic supplies are always available
· Update and ensure the accuracy of the organization's databases
· Back-up electronic files using proper procedures
· Provide secretarial and administrative support to management andother staff
· Make travel, meeting and other arrangements for staff
· Greet clients/suppliers/visitors to the organization in aprofessional and friendly manner
· Assist with financial management
· Use computer software to prepare invoices and financial statements
· Code and file financial material according to established recordsmanagement procedures
· Process accounts payable ensuring timeliness and accuracy ofinformation
· Process accounts receivable ensuring timeliness, accuracy of codesand appropriate backup
· Administer petty cash according to established procedures
· Assist with financial reports as required
· With the Executive Director, prepare meeting agendas andsupporting material for distribution
· Draft minutes of Board meetings for review by the ExecutiveDirector
· Create action list for management staff from board meetings
